Training Manager
This application, was originally developed for an
Environmental training company. It is flexible enough to be used by
other similar companies to manage their training programs.
As well as the standard functionality expected of a training
program, this program adds some features for tracking OSHA
and EPA requirements and for printing reports to be sent to
these organizations.
Training Manager handles all training processes from class scheduling and descriptions
to student sign-up, to tracking grades and certifications. Take a look below to see

Classes

This form is used to add/edit/view information on a class. The main portion
of the form shows data related to the class such as course name, instructor,
and location. It has a subform which shows which students are enrolled
in the class and shows the students grades and payment information as
it relates to the class shown in the form.
In this form you can view
assignments, print tent cards and state rosters, fill in and print certificates
of completion.

Students

This form is used to add/edit/view information on a student. Includes
students name, address, and phone number. A subform displays which
classes a student has taken as well as grade and payment information.
The form contains the following buttons:
- New Registration - Opens a form to register the student for a
new class,
- Print Course Completion - Prints a letter to a requesting
agency showing which classes the student has taken,
- Print Registration Confirmation - Prints a letter to the
student confirming their registration for the specified class and shows
course name, location of class, and date of class.

Courses

Used to add/edit/view information on a course. Includes fields for name,
cost, and other descriptive information that relates to a course. It is
opened from the main menu under Actions/Courses.

Companies

Used to add/edit/view information on a Company. Includes company name,
address, and phone number. It is opened from the main menu under Actions/Companies.

Departments
Used to add/edit/view department name and department manager. Presently
all of the courses should be the training department. Should you desire
to track the classes taught by different locations or functions, you could
use Department to distinguish between them. It is opened from the main
menu under Actions/Departments.

Find Classes Dialog
This dialog box is displayed when you select the search function (binoculars)
on the Classes form, or when Actions/Classes is selected from the main
menu. It shows a list of all of the classes that you might want to edit
or view, and sorts them by Course name and class start date.

Type of Company
Used to maintain the Type of Company lookup table. You can
add/edit/view the different types of companies.

Type of Class
Used to maintain the Type of Class lookup table. You can add/edit/view
the different types of classes such as proposal, scheduled, or unknown.

Instructors

Used to add/edit/view information on an instructor. Fields include name,
phone number, and e-mail address. There is a subform for viewing, adding,
and editing instructor certifications and a subform for the classes the
instructor has taught or is scheduled to teach.

Reports
|
Book List
Lists the courses and book requirements for the courses upcoming during
the specified period. Printed by selecting Reports/Book List from the
main menu.

Class List
Lists the Classes sorted by department, start date, and course name.
It shows class name, cost, instructor, location, and days. This report
is run directly from the main menu under Reports/Class Listing By Department.

Course Info
Lists the general information about the courses. Shows information such
as name, abbreviation, certificate prefix, standard cost, refresher course,
and refresher due date. This report is run directly from the main menu
under Reports/Course Info.

Refresher Due Letters
Reminds the student that they are due for a refresher class and shows
classes upcoming in the next two months. This report is run directly from
the main menu under Reports/Refresher Letter.

Refresher Due List
Shows the students requiring refresher training within 60 days of the
date of report generation, the course name, and the due date. It only
prints those students designated as an individual and having a refresher
due date within 60 days. When an individual signs up for a refresher course,
their refresher due date should be deleted on the class subform of the
student form so that they will not print out on this report and so that
they will not receive a refresher reminder letter. If they cancel a refresher
course, you may want to add the refresher due date back. This report is
run directly from the main menu under Reports/Refresher Due.

Registration Confirmation
This letter is sent or faxed to the student to confirm their registration
in a scheduled class. It provides the students with the specific information
on the class such as where and when. To print a confirmation, open the
Student form and find the student you want to print the confirmation for.
This will normally be done in conjunction with a registration which will
be done using the Student form. If you are in the registration form, you
can print the confirmation by pressing the Print Reg. Confirmation button.
If not, you must first select the desired class in the class subform.
Next, press the Print Reg. Confirmation button. This will print a confirmation
letter for the specified student and class.

Results by Assignment
Shows the results of all of the assignments for each student in a class,
sorted and grouped by assignment. This report is run from the main menu
by Selecting Reports/Results By Assignment.

Shows the results of all of the assignments for each student in a class,
sorted and grouped by student. This report is run from the main menu by
Selecting Reports/Results By Student.

Student Classes
Generates a class schedule for each student taking courses within the
designated time frame. It shows the course name, instructor, location,
days, and time for each class the student is scheduled for. On the main
menu, select Reports/Student Classes and you will be prompted to enter
the start date and the end date. This range limits the classes to those
which have a start date that falls within the specified range.

Tent Card
The Students name and their company affiliation are displayed on a sheet
which can be folded in half and used as a tent card so the instructor
can tell who the students are. Once the correct class is loaded in the
class form, press the button labeled Tent Cards. This will print all of
the tent cards for the class being displayed.

Certificate
A certificate showing that the student satisfactorily met the requirements
of the course. The certificates are printed from the Class form by pressing
the Print Certificates button. It will print certificates for all individuals
with a certificate number entered on the class subform. You will have
an opportunity to preview the certificates before actually printing them.

Class Summary
Provides summary information on a class and shows the grades and
payment information for each student in the class. To print a class
summary, find the class as discussed in the Class form. Once the correct
class is loaded in the class form, press the button labeled Class Summary.
This will print the summary for the displayed course.

State Roster
Provides the required information to the state on state regulated courses.
Includes the students names, company affiliation, address, telephone
number, grade and certificate number. There is also class specific information
such as date, instructors, and location. Once the correct class is loaded
in the class form, press the button labeled State Roster. This will print
the summary for the displayed course.

Course Completion Letter
A letter to be sent to the authorities showing what courses an individual
has taken at AAA Training, their grade, and the date of the class. To
print this letter, select the desired class in the class subform. Then
press the Print Course Completion button. You will be prompted for the
name and address of the person and agency that the course completion letter
should be sent to.

Student Directory
A listing of everyone in the Student table. It includes their name and
address. Printed form the main menu by selecting Reports/Student Directory.
